The following Terms of Service apply to all orders placed with Fields of Pressed Flowers Ltd ("FoPF"). By placing an order and making payment, you confirm that you have read, understood and agree to these Terms of Service.

PAYMENT

If you contact Fields of Pressed Flowers Ltd (FoPF) within one week of, or after, your wedding or event, full payment may be required at the time of placing your order.

Where your wedding or event is yet to occur, an initial booking fee can be paid to secure your commission date. This payment contributes towards the administration, planning, reservation of your commission, preparation for receiving your flowers and the professional preservation services undertaken before the design stage. These services begin before your artwork is designed and form part of the overall commission.

Unless otherwise agreed, half of the remaining balance is payable before your wedding or event, with the final balance due before your design mock-up is undertaken.

The preservation process begins once your flowers are received and will commence before the final balance is due.

FoPF requests prompt payment of all invoices. Payment reminders will be issued once the due date shown on your invoice has passed and, where payment remains outstanding, interest may be added where permitted by law.

Design work will not commence until all payments due have been received and no completed artwork will be dispatched until the outstanding balance has been paid in full.

REFUNDS & CANCELLATIONS

As each commission is bespoke and involves the preservation of unique flowers, cancellations and refunds are limited once work has commenced.

If you need to cancel your order, please contact FoPF as soon as possible. Any refund will be considered based on the stage of your commission at the time of cancellation, the services already provided and any reasonable costs incurred by FoPF.

Where a booking is cancelled before your flowers have been received and before preservation work has begun, any refund will be calculated by deducting any reasonable costs already incurred. This may include administration, planning, correspondence, preparation and the time and resources committed by FoPF in preparing and managing your commission.

The initial booking fee contributes towards the administration, planning, reservation of your commission and the early stages of the preservation process. It is not a payment held solely against the final artwork, as services begin before the design stage.

Where your flowers have been received and the preservation process has begun, FoPF reserves the right to retain payment for the preservation services already completed, together with any reasonable administration costs incurred and the cost of returning your flowers.

Where you request cancellation after your flowers have been professionally pressed but before a design mock-up has been created, a partial refund may be available. Any refund will be calculated by deducting the initial booking fee, the reasonable costs of preservation and processing already undertaken, any administration costs incurred and the cost of returning your pressed flowers.

Once your artwork has been framed, no refund is possible.

If you later decide that you would like your flowers returned without framing, this may be considered at FoPF’s discretion. Any refund offered will be calculated as above, taking into account the work already completed, preservation costs, administration and return postage.

COMMUNICATION

You will receive confirmation once your flowers have safely arrived with FoPF and again once your flowers have completed the pressing process and have joined the design queue, usually around 12 weeks after receipt.

There will generally be no updates between your flowers leaving the press and entering the design phase, as your flowers will be carefully stored in the meantime.

FoPF will communicate with you via email regarding your order, including any information required and any design mock-ups requiring your review and approval.

FoPF understands that everyone has busy lives and that things can sometimes take longer than expected, however timely communication is important to keep orders progressing. FoPF kindly requests a response or acknowledgement to communications relating to mock-ups, approvals or decisions within 72 hours where possible.

Delays caused by a lack of response, approval or required information from the customer may impact the estimated completion timeframe. FoPF cannot be held responsible for delays caused by waiting for customer responses or decisions.

If FoPF is unable to contact you despite reasonable attempts for a period of 12 months following a request for information, approval, payment or collection of your completed artwork, FoPF reserves the right to consider the order abandoned and may dispose of any flowers, artwork or materials relating to your order without further liability.

SENDING YOUR FLOWERS

FoPF strongly recommends that bouquets and special event flowers are sent using Royal Mail Special Delivery, and requests that the tracking number is sent in advance.

FoPF must receive your bouquet or special event flowers within 5 working days of your wedding or event. The sooner your flowers are received, the better the outcome is likely to be. Ideally, flowers should arrive within 1–3 days.

You are responsible for ensuring your flowers are packaged appropriately and sent using a suitable delivery service. FoPF cannot be held responsible for deterioration caused by delays in posting, weather exposure, poor packaging, incorrect packaging, or the condition of the flowers before they arrive.

Flowers are natural materials and their condition on arrival may vary. FoPF will work with the flowers in the condition they are received and cannot guarantee that all flowers will be suitable for pressing.

If your flowers arrive in an unworkable condition, or are lost in transit before reaching FoPF, you may choose to source replacement stems to be used within your artwork. FoPF can assist in obtaining a quote for replacement flowers where possible. If you decide not to proceed with your order, a partial refund may be available at FoPF’s discretion, taking into account any work already completed and costs incurred.

You agree to review the flower posting and care instructions provided by FoPF before your wedding or event.

If your wedding or event takes place on a Friday, FoPF recommends waiting until the following Monday before sending your flowers, or using the hydration kit available to purchase from the FoPF website if you choose to send earlier, as this can help keep flowers fresher during delayed transit.

If your wedding falls over a bank holiday weekend, the best day for sending your flowers will be discussed with you.

FoPF will not return containers used to transport your flowers. Where possible, ribbons and any requested leftover pressed flowers will be returned with your completed artwork.

You are responsible for all postage costs associated with sending your bouquet or special event flowers to FoPF.

PRESERVATION PROCESS

The preservation of your flowers is a key part of the service and begins once your flowers are received by FoPF.

This process includes receiving and assessing your flowers, preparing them for pressing, professionally pressing and drying them, monitoring their condition throughout the pressing process, changing pressing materials where required and safely storing your preserved flowers until they reach the design stage.

The preservation process is carried out before the design and framing stage and forms a significant part of the overall commission.

Once your flowers have completed the pressing process and have been successfully preserved, this element of the service is considered complete, regardless of whether you choose to proceed to the design and framing stage.

Whilst every care is taken to achieve the best possible outcome, flowers are natural materials and preservation results will vary depending on the flower varieties received, their condition, freshness, age, structure and how they respond during the pressing process.

FoPF cannot guarantee that flowers will retain their original colour, shape, size or appearance after preservation. Some flowers may naturally change colour, press differently or require careful selection during the design process due to their condition after pressing.

LAYOUT & DESIGN

FoPF uses professional judgement when designing each piece, including flower selection, placement, spacing, composition and the overall appearance of your finished artwork.

If you have seen a previous FoPF design that you particularly like, FoPF will use this as inspiration where possible. However, each commission is unique and the final design will depend on the flowers available, their condition after pressing and the overall composition of the piece. FoPF does not replicate other artists’ designs or guarantee an identical recreation of previous work.

A design mock-up will be created and sent to you for approval before framing. Due to the handmade nature of pressed flower artwork, the completed piece may differ slightly from the approved mock-up. Minor adjustments may be required during the framing process to achieve the best possible final result.

Please note FoPF no longer offers ‘bouquet’ style designs.

All artwork is signed for copyright protection and, unless otherwise specified before framing, artwork is designed to be displayed in portrait orientation with the signature positioned in the bottom right-hand corner.

All designs, layouts and artwork remain the intellectual property of FoPF. Customers may not reproduce, copy or commercially exploit the designs in any form.

TIMESCALE

All timescales provided by FoPF are estimates only. Whilst every effort is made to complete commissions within the estimated timeframe provided, delays may occur due to the handmade nature of the work, the volume of commissions being undertaken and the operation of a small business.

Estimated timescales do not form a guaranteed completion date and delays do not automatically entitle customers to a refund or compensation.

Your flowers will be worked on in the order they are received unless otherwise agreed. The preservation process, design stage and framing are all carried out carefully and cannot be rushed without potentially affecting the quality of the finished artwork.

You understand that current estimated timeframes can be around 52+ weeks from receipt of your flowers. If you require your flowers returned by a specific date, FoPF may be able to offer a rush service where availability allows and an additional fee may apply.

FoPF is a small business and all preservation, design and framing work is personally undertaken by Lucy, with assistance from the FoPF team where required.

FoPF shall not be liable for delays caused by circumstances beyond its reasonable control, including but not limited to illness, supplier delays, postal disruption, extreme weather, or other unforeseen events.

DELIVERY

FoPF takes great care when packaging completed artwork and uses appropriate protective materials to reduce the risk of damage during transit.

Your completed artwork will be dispatched using a fully insured next-day delivery service, such as Royal Mail Special Delivery or Parcelforce Express 24 where required.

The delivery address will be confirmed with you prior to dispatch; however, you are responsible for ensuring that the delivery details provided are correct.

Your email address and mobile number may be used to provide delivery updates from the courier.

Where a preferred delivery date is requested, FoPF will make every effort to accommodate this where possible. However, FoPF cannot be held responsible for delays once your order has been dispatched.

Risk passes to the customer once the artwork has been dispatched. FoPF shall not be liable for delays, losses or damage caused by the delivery provider, although FoPF will support you in resolving any issues where possible.

Every frame is carefully packaged using protective materials to ensure safe transit. Due to the delicate nature of pressed flowers and handmade artwork, minor movement of petals, leaves, small particles or dust may occasionally occur during delivery. This is considered a normal characteristic of pressed flower artwork and does not constitute damage or a fault.

If significant damage occurs during transit, FoPF will work with you to find a suitable resolution.

Any concerns regarding damage, defects or the condition of your artwork upon delivery must be reported to FoPF within 24 hours of receipt, together with clear photographic evidence where applicable.

Due to the bespoke nature of the artwork and the conditions in which it may be stored or displayed after delivery, issues reported after this timeframe may not be eligible for replacement, refund or further review.

PRODUCT CARE & DISCLAIMER

Pressed flowers are natural materials and will continue to change over time.

Flowers may naturally fade or alter in colour depending on the flower variety, environmental conditions and how the artwork is displayed. FoPF does not apply colour correction, artificial dyes or sprays to alter the natural appearance of flowers.

You understand that the colour and appearance of your flowers may change during the pressing process. White flowers, particularly roses, are especially prone to yellowing or browning, and all flowers may differ in appearance between entering the press and being removed.

Once pressed, flowers are stored in a temperature and moisture-controlled environment until they reach the framing stage.

Every effort is made to securely adhere flowers using methods that provide the best possible hold without damaging or altering their natural appearance. Due to the delicate nature of pressed flowers, slight movement of petals, leaves or small elements may occur over time. This is considered a normal characteristic of handmade pressed flower artwork and does not constitute a defect.

You understand that your frame should be displayed away from direct sunlight, excessive heat and humid conditions, as these can affect the longevity of the artwork.

Frames should be handled with care and cleaned using a soft damp cloth.

Coasters are sealed between the acrylic layers and include silicone feet to protect surfaces, however they are not completely waterproof.

Where UV protective / anti-reflective acrylic upgrades are selected, customers understand that these materials may have a subtle diffused or frosted appearance as part of their protective properties. This is an inherent characteristic of the material and does not constitute a fault.

All due care is taken to ensure the long-term quality of your piece prior to delivery, including proper drying, preservation and careful framing.

Once your artwork has been delivered, FoPF cannot be held responsible for damage caused by handling, accidental impact, incorrect cleaning, inappropriate storage, environmental conditions or incorrect display.

PHOTOGRAPHY

Unless otherwise requested in writing before completion of your order, FoPF reserves the right to photograph completed artwork and use these images for its website, portfolio, social media, marketing materials and other promotional purposes.

FoPF will take care to ensure that any personal information, such as names or wedding details, are not shared without permission.

MATERIALS & SUPPLIERS

FoPF takes great care in selecting materials and suppliers to ensure the highest possible quality for your artwork.

Due to supplier availability, product changes or circumstances outside of FoPF’s control, FoPF reserves the right to substitute materials with alternatives of an equivalent or higher quality where necessary.

This may include, but is not limited to, frames, glazing, backing materials, packaging and other components used in the creation of your artwork.

GENERAL

These Terms of Service apply to all commissions placed with Fields of Pressed Flowers Ltd.

Due to the handmade and individual nature of each commission, no two pieces will be identical. Variations in flower placement, colour, texture and finish are a natural part of handmade pressed flower artwork and contribute to the uniqueness of each piece.

FoPF reserves the right to make reasonable adjustments to designs, processes or materials where required to achieve the best possible outcome for your artwork.

These Terms of Service shall be governed by and interpreted in accordance with the laws of England and Wales.
